What is a Virtual Assistant vs. an Expert Virtual Assistant?®

A Virtual Assistant (VA) is a self-employed independent contractor who can work with you remotely (we usually work from a home office).  VA’s typically offer a wide variety of general administrative services.  A VA is an asset to any small business and entrepreneurs who want to create more time-freedom to focus on their core business functions, family time, and self-care. 

An Expert Virtual Assistant® is a VA that has taken the time to learn and specialize in a specific niche.  We know our skills are best used in the area that we are an “expert” in, so we put all of our creative efforts into our area of expertise.

How does working with an Expert VA® instead of a temp, part-time or full-time employee benefit my business?

When you hire an Expert VA®, you only pay for the work you need to complete.  You save money on overhead costs, paid benefits, taxes, training, and other costs you would incur from hiring an employee.

Who do you work with?

I work with various health and wellness professionals such as health coaches, life coaches, nutritionists, naturopaths, holistic providers, dieticians, chiropractors, medical providers, speakers, authors, and other health-minded professionals (this is not a final list!).  I also work with small business owners who are not in the health and wellness industry, so you need not feel excluded!  Schedule a free consultation call with me to see if we can work together!

What is the best way for clients to communicate with you?

I communicate with my clients primarily through email.  For more detailed meetings, we do zoom calls.  If clients have an urgent question, I use Slack or other texting/messaging apps, depending on your needs.

What is the turn-around time for responding to emails?

I check my emails at certain times of the day, Monday through Friday.  I try to return emails within the same business day or the next business day.  For urgent questions, clients may text or message me.

How do I get my work to you?

Email, Google Docs, and DropBox are the preferred methods.  I also encourage clients to provide me with an Excel Spreadsheet or some other form of “swipe file” that includes topics, references, and due dates for their writing projects. 

If you do not have these readily available, we can have a short zoom meeting to discuss your content strategy, where I will offer suggestions and ideas.

How often do you invoice?

I invoice by the 3rd of the month for services completed the previous month.  For new clients who purchase a service package, you will be billed for a one-time 50% down payment before starting the work.  You will then be billed for the remainder of the service by the 3rd of the following month.  

For project writing services outside of my package rates, I use the Toggl time-tracking tool to track my time.  You will be billed at my current hourly rate, based on the number of minutes it takes to complete the project.  I offer a “not-to-be-exceeded monthly budget” option and work with you when it appears I am getting close to your budget but may need more time to finish the work.  You can decide if you would like me to proceed with the work for that month or complete the additional work the following month.

What forms of payment do you accept?

I use PayPal to invoice you and receive payments.

What else should I know about your billing services?
  • Not To Be Exceeded Budget – I will work with you to stay within your budget so you will not be surprised when you receive your invoice. We will discuss what projects you need to be done for the month and the amount of time estimated to complete the work. When the maximum amount of budgeted hours is approaching, I will contact you to either approve the additional hours or finish up to the budgeted hours and discontinue until the next billing month if you prefer. This ensures that you will stay in control of your budget at all times.
  • Hourly services are rounded to the nearest 10-minute increment. 
  • I can work with you to create a project rate that we would decide on together based on the hours of work expected to complete your project. In many cases, a project rate may provide a discount over the hourly rate. 
  • I provide written estimates upon request. There are no hidden fees.
  • Rates are non-negotiable.
  • Invoices are due upon receipt. Invoices not paid within 30 days of the invoice date will be subject to a 1% late fee.
